The  SEPPmail Microsoft Outlook Add-In can be installed on Microsoft Windows PC systems with Microsoft Outlook. The installation can be done both interactively and in silent mode. Depending on the installation chosen, different settings (parameters) are available to control the functionality of the add-in.

Parallel use of the add-ins with the X-Platform Add-In For Microsoft 365 is not recommended.

This could lead to undefined states when sending emails and consequently to the supposedly requested actions not being carried out.

 

In every (de-coupled!) Outlook window for writing an email (new, forward, reply), the add-in provides buttons for controlling the cryptographic actions of the SEPPmail Secure E-Mail Gateway.

Depending on the settings selected during the installation, different buttons appear, with different default settings (pressed / not pressed).

With the subsequent sending of an email, the status of the buttons are either

 

written as control information in the X-header.

Optionally, categories can be created in this procedure, which are set according to the action selected in the add-in. This enables the sender to subsequently see in the folder "Sent Items" which action, if any, was selected via the add-in when sending the email.

When using this procedure ( "Subject Mode"), control commands which may have been manually added to the subject line will be removed to avoid any conflicting, double or unintended instructions.

 

The "Subject Mode" may be an alternative if an intermediate email server between the Microsoft Outlook client and the SEPPmail Secure E-Mail Gateway removes the X header.
The keywords added through the add-in in the "Subject Mode" are also visible in the "Sent Items" folder of the sender even without further categorisation. Therefore, categorisation is not possible in this mode.

 

Since emails addressed to internal recipients are generally sent directly by the email server and do not even reach the SEPPmail Secure E-Mail Gateway, these control commands are also visible in the "Inbox" of such recipients.

 

The central SEPPmail Secure E-Mail Gateway system is able to evaluate both information on receipt of the email.

 

Furthermore, an optional "Help" button can be added to the action buttons, which calls up a freely definable web page in the standard browser.

 

Likewise, a warning can be issued when sending unencrypted emails.

The warning is always issued when no encryption was requested by means of the add-in.

However, under certain circumstances, the affected email may still be encrypted by the SEPPmail Secure E-Mail Gateway if additional, automatic encryption criteria have been configured there. By default, this would be e.g. a domain encryption.

 

The application is multilingual and adapts to the language of the Microsoft Outlook interface. If this language is unavailable, English is used as the default language for the add-in.
